Information we collect

When you contact us, we receive the name, email address, message and business details you choose to provide. If you arrange a meeting, we also receive the booking details you supply. Please do not include passwords, payment card details, sensitive personal information or confidential client records in an enquiry.

Our website provider, Squarespace, and its security tools may process technical information such as IP address, browser and device details, pages requested and security events to deliver and protect the website. Our contact forms use Google reCAPTCHA for spam protection. See Google’s privacy policy for information about Google's processing.

Why we use information

We use enquiry and meeting information to respond, understand your requirements, arrange discussions and prepare proposals. Our lawful basis is our legitimate interest in managing relevant business enquiries, or taking steps at your request before entering a contract where applicable.

We use information needed to provide agreed services to perform our contract, and keep records required by legal obligations. Website operation and proportionate security processing support our legitimate interests in running a reliable, secure service. Where consent is required for optional cookies or marketing, we ask separately. Sending an enquiry does not sign you up to a mailing list.

Who receives information

Information is available to people working for Valence who need it to handle your enquiry or deliver services. We use service providers including Squarespace for the website and form processing, and Google Workspace for business email. Booking tools, where used, receive the information necessary to arrange your appointment. Professional advisers or authorities may receive information where necessary for advice, legal obligations or the establishment or defence of legal claims.

International processing

Our service providers may process information outside the UK. Transfer arrangements depend on the provider and destination. Contact us for details of the relevant safeguards and providers applicable to your information.

How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including handling follow-up enquiries, providing services and meeting legal or record-keeping requirements. Retention depends on the nature of the enquiry or engagement and any applicable legal requirements. Contact us to request information about the retention of a particular record.

Your rights and complaints

Depending on the circumstances, you may request access, correction, erasure, restriction or portability of your information, or object to processing based on legitimate interests. Where we rely on consent, you can withdraw it at any time without affecting earlier lawful processing. Some rights are subject to exceptions. Contact us using the email above; we may need to verify your identity.

You may complain to the Information Commissioner’s Office. Please also contact us so we can try to resolve your concern.
